Our county population in southwest Florida is similar to yours. We have around 600 registered customers and half of them are active users. Our monthly circulation is running around 1200. We have one full time position for this service and she uses four volunteers for a couple of hours each week. It's hard to know how many eligible people are out there, especially in a retirement community like ours. To try to reach the obvious ones we promote the service through the 30+ senior residential facilities that use our deposit collections, through Meals on Wheels and home health agencies, through flyers given to new patients by hospice, and through the many local agencies that attend community meetings with us. However, most referrals come from staff in our 11 libraries that are trained to tell people about us when they say things like this: "I'm getting books for my neighbor/mother/friend who can't get around much any more," "Next week I'm having surgery so I won't be back in for a while," and "I'm so glad to be back in the library; this is one of my good days." If you really want to know about people who are homebound, check with you local/regional Area Agency on Aging. They should be able to help you with an estimate or send you to those figures. It will probably be a pretty large number but only some will be interested in your service as it is always most successful with people who are already avid readers. (We've all experienced family members who sign up folks who are just not interested!) It sounds like you've grown quickly. It would probably help to talk to some other programs about their procedures and policies as there may be some things you can do to handle a heavy work load. We have been doing our Library-By-Mail for about 2.5 years. We are serving about 350+ patrons now with one staff member. Circulation is a little over 700 items/month. She's a bit overwhelmed and I've been trying to figure out how to manage. We serve a three-county, 600,000+ population area, and I think we are just barely touching the need that exists. If possible, could you answer these questions for me: 1) How long have you been serving the homebound patrons? 2) Do you serve them via Library-By-Mail or another manner? 3) How many patrons do you serve a month? 4) What is your circulation? 5) What is your area's population? 6) Do you know how many homebound are in your area? 7) Do you have any ideas on how to figure out how many homebound are in an area? (I need to figure this out...) We had one of our homebound patrons visit us last week, too! Her son brought her by to say 'hi' to our Readers Advisor. We get marvelous notes from our patrons on a very regular basis, too. I'm hoping/wondering if some of the stimulus money going to the Senior Corps could work towards providing someone to help with this program of ours. At this point, we are not looking to 'hire' staff, and we typically do not use 'volunteers', but as this is a different sort of program, my director told me to pursue looking into it. Neither of us wants to say 'no' to patrons if they are homebound but we are trying to figure out how to maintain the balance between the growth and service. Do you use stand-alone "official" (commercially made for this purpose) bookdrops, or some other container/object? We have stainless steel commercially made book drops so they can withstand the weather. Are your remote bookdrops located at a regular stop location, or at a place/building/town where the vehicle does not actually make a regular stop? Two are located at our summer stop locations and two are at regular stop locations. Does the bookmobile staff pick up the items, or someone else? The Mobile Library Staff pick up the drops at three locations. We have three drops at the fourth location so we have a courier service that empties the drops three times a week and delivers them to our office. Far too many materials for us to handle on the mobile so we have Pages process them back at the office. Are the books checked in on the date they are retrieved, or is the date set back and/or fines adjusted in any way? We back date to the last time we picked up the drop. Have you had any problems with damage to items or bookdrop itself, either natural or vandalism? No Has a remote book drop impacted usage of your bookmobile either in a positive or negative way? The ML patrons really appreciate them for those times when they can't make it to their stop. There are also many patrons who are not ML patrons that use them. They work in the city and use a branch near their work place but often forget to return items so they use the drops. I would say it is a positive impact. Thanks in advance for your input. If it will be a holiday on the day before, we call them whatever date is before that. (Such as calling on Friday, rather than Martin Luther King day (which is celebrated on a Monday) for a Tuesday stop. * Second, when we arrive at the designated school stop on their day - we call in to the office and say "Hi, just wanted you to know the Bookmobile is here." Sometimes the person answering will ask which group or teacher is coming out and will offer to prompt them to do so and sometimes the person will say, I see they are all ready on their way. This seems to work pretty well for us, just thought I would offer this as a possibility. Our most effective strategy is for one staff member to make reminder phone calls the day before. (She commits about 30 minutes each day to the task.) We also keep a log on our vehicles to keep track of "misbehaving" stops (and also computer connectivity, parking issues, etc.). All of us are pretty insistent that centers make good use of our time, but things happen (like bad weather or the local Tumblebus -- who can compete with that?) If we recognize a pattern or experience blatant disregard for our time and service, I'll make a phone call to the center director to say that things have to happen as agreed, or we'll have to drop them. (We have a pretty extensive waiting list.) Periodically we print out schedules of planned visits to that center and give each teacher a copy (in addition to the semi-annual schedule we've already supplied). This is an issue we constantly discuss, and we're always looking for new strategies. She was checking out a handful of books and movies and I offered her one of our cloth bags to carry all of her items. She asked is she was able to keep the bag, I said of course. I was then given one of the biggest hugs of my life as she said thank-you with tears coming down her face. It seems that her house had just burned down within the last few months and all of her bags were gone. A simple gesture of giving a patron a bag made her day and made mine as well. I just wanted to tell you all the story so that we can take a minute to reflect on what services we truly bring to our communities. I've had a sudden request for information from our administration and am hoping someone here can help me with a very quick response. Do you offer public-use computer stations on your bookmobile? And/or, is your bookmobile considered or labeled as a "cyber-mobile?" Please give a quick run-down of how you utilize your public-use computers on the vehicle. Do you teach any mini-classes? Use them for browsing the internet? Word processing, job searches or other "planned" activities? Was your vehicle specifically designed for mobile computing stations or was it a retrofit? Any design, cabling, or power problems? Any love lost between "book users" versus "computer users?" Any gnashing of teeth or warm fuzzy stories?
